An important component of the Regional Meeting are Book Exhibits. Many conference attendees look forward specifically to browsing the book display tables. Exhibitors are invited to attend the 2008 meeting, March14-16, at the Marriott DFW. Please see below for details on reserving a book display.

Cost

Registration per Representative: $50.00
Registration without Representative: $65.00
Book Exhibitors are invited to participate in the conference.

Display Table (30" x 6'): $45.00.
On average book exhibitors require 2 tables, with larger publishers using 3 or more tables and smaller groups using a single table.

Shipping

Pallets: Pallets must arrive no earlier than three days before the meeting.  The hotel cannot accept pallets before this date. There is no holding charge for the shipments.

Post-meeting Shipping:

Boxes must be packed and sealed, with a company label that includes a complete address and account number.  Publishers without a company label and/or account number should complete the shipment request form provided by the hotel’s banquet manager.

Setup and Teardown

If no other requests for the exhibit room have been made one week prior to the Regional Meeting, then setup will begin Friday evening at 7:30 PM and end at 10:00 PM.

In the past, there has never been a problem with setting up book exhibits on Friday evening.  If the room is reserved, however, exhibitors will have to wait until Saturday morning to set up.  The SWCRS recommends a Friday evening arrival time.  SWCRS representatives will arrive Friday in any case; if the room is available, we will certainly accommodate exhibit setup.

Registration Deadline:

Registration for Book Exhibits must be mailed no later than Friday, February 29, 2008. Please, do not send Book Exhibit registration forms after this date.
